Thank you for choosing WTP DMCC for your travel adventure! Please read the following Booking Terms and Conditions carefully. By making a booking, you agree to these terms, forming a legally binding agreement between you and WTP DMCC.

1. Contract Formation

1.1 Booking Confirmation: Your booking is confirmed when we issue a booking confirmation, at which point a contract is formed between you and WTP DMCC.

1.2 Acceptance of Booking and Full Payment: Your booking is considered accepted only when we issue a booking confirmation after receiving the required deposit. Full payment must be made as per the terms outlined in Section 2. Failure to comply may result in the cancellation of your booking and loss of deposit.

1.3 Third-Party Suppliers: WTP DMCC acts as an agent for third-party suppliers. Their terms and conditions apply to any services they provide, and these will be made available to you upon request.

1.4 Information Required for Reservation & Travel: When booking a trip with WTP DMCC, the following information is required to process your reservation and ensure a smooth travel experience:

  • Full name as per government-issued ID with which you will travel.
  • Address.
  • Date of birth.
  • Full passport details.
  • Email address.
  • Credit card information for payment processing.
  • Details of any disabilities that may require special accommodations.
  • Medical conditions that may need to be considered during your trip.
  • Emergency contact details (a non-participant in the tour).
  • On-tour contact information (your mobile phone number or email address).
  • If any additional information is required, it will be requested from you during the reservation process.

This information is essential for us to ensure that your travel arrangements are correctly processed and that we can cater to any specific needs you may have during your trip.

2. Payments

2.1 Deposit: A non-refundable deposit is required at the time of booking to secure your place. The amount of the deposit will be confirmed at the time of booking.

2.2 Final Payment: The remaining balance must be paid no later than 45 days before departure. Failure to pay the balance on time may result in cancellation of your booking and loss of deposit.

2.3 Late Bookings: For bookings made within 30 days of departure, full payment is required at the time of booking.

2.4 Price Surcharge and Taxes: Prices may be subject to surcharges due to unforeseen changes in exchange rates, government action, or other factors beyond our control. Any such surcharges will be communicated to you as soon as possible. All prices are inclusive of applicable taxes unless stated otherwise.

3. Cancellation and Changes

3.1 Cancellation by You: If you need to cancel your booking, you must notify us in writing. The cancellation will be effective from the date we receive your written notification. Cancellation fees apply as follows:

  • More than 45 days before departure: Loss of deposit.
  • 29 to 10 days before departure: 80 % of the total trip price.
  • Less than 10 days before departure: 100% of the trip price.

3.2 Amendments by You: If you wish to make changes to your booking, you must inform us in writing. Changes may be subject to additional costs, which will be communicated to you before the changes are made.

3.3 Cancellation or Changes by Us: WTP DMCC reserves the right to cancel or modify your trip in the event of unforeseen circumstances. If we cancel your trip, you will have the option to accept an alternative trip or receive a full refund. We are not liable for any additional costs you may incur, such as flights or visa fees.

3.4 Force Majeure: WTP DMCC shall not be liable for any failure to perform its obligations under this agreement if such failure is caused by events beyond its reasonable control, including but not limited to acts of God, war, terrorism, civil unrest, strikes, natural disasters, or government restrictions. In the event of force majeure, we will make every effort to reschedule or provide an alternative arrangement, but refunds may not be available.

3.5 Minimum Numbers: Certain trips require a minimum number of participants. If this minimum is not reached, we may cancel the trip and offer you a full refund or an alternative trip.

3.6 Unused Services: No refunds will be issued for unused services, including but not limited to late arrivals, temporary absences from your trip, early departures, unused transportation where group activity tickets are involved, or voluntary modifications made by you. It is important to understand that once services are confirmed, they are non-refundable, and no exchanges for other services will be permitted.

4. Inclusions and Exclusions

4.1 Inclusions: The trip price includes all services listed in your itinerary, such as accommodation, transportation, and guided activities. Specific inclusions will be detailed in your booking confirmation.

4.2 Exclusions: The trip price does not include travel insurance, visas, personal expenses, optional activities, or meals not specified in the itinerary.

5. Travel Insurance

5.1 Mandatory Insurance: Comprehensive travel insurance is mandatory for all travelers. Your insurance must cover trip cancellation, medical expenses, emergency evacuation, and personal liability.

5.2 Proof of Insurance: You must provide proof of adequate insurance before the trip begins. Failure to do so may result in cancellation of your booking without refund.

6. Health, Safety, and Conduct

6.1 Health Requirements: You are responsible for ensuring that you are in good health and fit to participate in the trip. Certain trips may have specific health requirements, which will be outlined in the trip notes.

6.2 Medical Conditions: You must disclose any medical conditions, allergies, or dietary restrictions at the time of booking. We will make reasonable efforts to accommodate your needs but cannot guarantee that all requirements will be met.

6.3 Conduct: You must comply with local laws and respect the customs of the destinations you visit. We reserve the right to remove any traveler from the trip if their behavior is disruptive, dangerous, or illegal, without refund.

7. Passports, Visas, and Documentation

7.1 Passport Validity: Your passport must be valid for at least 6 months beyond the end of your trip. It is your responsibility to ensure that all necessary travel documents are in order before departure.

7.2 Visas: You are responsible for obtaining all required visas and travel permits for the countries you will visit. We are not liable for any issues or costs arising from failure to obtain the necessary documentation.

8. Age Requirements

8.1 Minimum Age: The minimum age for participation in most trips is 8. Some trips may have higher age requirements due to the nature of the activities involved.

8.2 Traveling with Minors: Travelers under the age of 18 must be accompanied by a parent or legal guardian. Specific age restrictions will be outlined in the trip notes.

9. Responsibility

9.1 Loss of Baggage: WTP DMCC is not responsible for loss, damage, or delay of baggage. It is recommended that you obtain travel insurance that covers baggage loss and delays.

9.2 Failure to Present at Authorities or Missed Flights: It is your responsibility to ensure that all travel documentation is in order and that you arrive at the airport or other designated departure points in time for your trip. WTP DMCC is not responsible for any costs or losses incurred due to failure to present the correct documents or for missed flights due to late arrival.

9.3 Delayed Arrival: WTP DMCC is not responsible for any delays in arrival or for any missed arrangements, accommodations, or activities that result from such delays. Any costs incurred as a result of late arrival are your responsibility.

9.4 Unforeseeable Events: WTP DMCC is not responsible for any additional costs or losses incurred due to unforeseeable events such as strikes, accidents, political unrest, or other circumstances beyond our control. We will make every effort to assist you in such situations but cannot guarantee any specific outcomes.

 

9.5 Punctuality on Trip: WTP DMCC (and/or the tour operator if applicable) is not responsible for any losses, including missed sightseeing, meals, inclusions, optional excursions, or the need to make alternate transportation or lodging arrangements, if you fail to meet the representatives at the assigned timings and places/pick-up points while on the trip. WTP DMCC (on behalf of the tour operator if applicable) will not refund, cover any costs or expenses incurred, or compensate for any missed inclusions or optional excursions claimed, due to your inability to maintain punctuality.

10. Accuracy of Invoice Details

10.1 Invoice Accuracy: It is your responsibility to review the details on your invoice promptly upon receipt. Any errors or discrepancies must be reported to us within 10 days of receipt. Failure to do so may result in the acceptance of the invoice as accurate.

11. Airfare and Contract Responsibility

11.1 Airfare Responsibility: WTP DMCC is not responsible for any issues related to airfare. Flight arrangements are the responsibility of the traveler unless explicitly included in the trip package. Any changes or cancellations to flights are subject to the airline’s terms and conditions.

12. Authority to Refuse Entry

12.1 Refusal of Entry: WTP DMCC is not responsible for any issues arising from the refusal of entry to a country by immigration authorities or other government officials. If you are denied entry to a country for any reason, including but not limited to issues with your travel documents, visas, or compliance with local regulations, WTP DMCC will not be liable for any costs or losses incurred as a result.

12.2 Travel Documentation: It is your responsibility to ensure that all travel documentation, including passports, visas, and any other required permits, is valid and in order for the countries you plan to visit. WTP DMCC will provide guidance but cannot guarantee the acceptance of your documents by immigration authorities.

12.3 Costs and Losses: In the event of a refusal of entry, any additional costs for return travel, accommodation, or other expenses are your responsibility. WTP DMCC is not liable for any refunds or compensations related to such refusals.

12.4 Assistance: While WTP DMCC will provide reasonable assistance in the event of a refusal of entry, we are not obligated to resolve the situation or cover any associated costs.

13. On-Trip Experience

13.1 Baggage Restrictions: Each trip may have specific baggage size, weight, and quantity restrictions. These restrictions will be communicated to you in advance. You are responsible for adhering to these requirements and may incur additional costs for excess baggage.

13.2 Hotel Changes: Occasionally, it may be necessary to change accommodation due to unforeseen circumstances. We will make every effort to provide a comparable alternative, but no guarantee can be made regarding specific hotels or room types.

14. Change of Itinerary

14.1 Itinerary Changes by Us: We reserve the right to change or modify the itinerary due to unforeseen circumstances, including weather conditions, natural disasters, or other factors beyond our control. We will make every effort to provide a similar alternative arrangement, but we cannot guarantee that all aspects of the original itinerary will be maintained.

14.2 Itinerary Changes by You: If you request changes to your itinerary after the trip has commenced, we will do our best to accommodate your request, subject to availability and additional costs, which will be your responsibility.

15. Complaints and Dispute Resolution

15.1 During the Trip: If you have a complaint during the trip, please inform your group leader or local supplier immediately. We aim to resolve complaints on the spot but cannot address issues that are not reported during the trip.

15.2 Post-Trip Complaints: If your complaint is not resolved during the trip, you must submit it to us in writing within 7 days after the trip's conclusion.

15.3 Dispute Resolution: Any disputes arising from these terms and conditions or your booking will be resolved under the laws of UAE/DUBAI, and any litigation will be conducted in the courts of UAE/DUBAI.

16. Miscellaneous

16.1 Severability: If any provision of these terms and conditions is found to be invalid or unenforceable, the remaining provisions will continue to apply.

16.2 Entire Agreement: These terms and conditions constitute the entire agreement between you and [Your Company Name] and supersede any prior agreements or understandings.

16.3 Amendments: We may amend these terms and conditions from time to time. Any changes will be communicated to you, and the revised terms will apply to all bookings made after the date of the change.
